Bilateral Numbering of Bilingual Templates

 

In order to number both columns simultaneously in bilingual templates, a few things must be taken into account, as LAWLIFT assigns unnumbered styles to the right-hand column by default. To illustrate this, here is an example document with the assigned styles:

 

In order to be able to number the right-hand side as well, you must define numbering for certain unnumbered style sheets. To ensure that the numbering follows a hierarchical structure (i.e. is numbered from the beginning after each heading), you must create a list with several outline levels.

Which format templates need to be redefined depends largely on the structure of your contract. As an example, we show here the procedure for simple contracts with two structure levels and with three structure levels.

 

Contracts with two levels of structure

In this case, you must adjust two format templates in the letterhead template and create an outline list. To do this, proceed as follows:

  1.  Open a letterhead template that you have created as described in the help article
  2.  Now click on the icon for "Multi-level list" in Word and then on "Define New List Style"


     
  3.  You can then give the List Style a name in the open menu (e.g. "Right Side") and open the numbering settings via "Format"


     
  4. Then click on "Customize ..." and a menu will open in which you can set the numbering for the respective levels. Here you can use the numbering style for the left-hand side as a guide. In order for the paragraphs under the headings to include the numbering of the headings, you must select "Include level number from: Level 1"


     
  5. You now need to assign the corresponding style sheets to the respective levels via "Advanced". For the first level, assign "LL Hading Level 2" and for the second level "LL Paragraph Level 2".


     
  6.  You can now use "Number position" and "Text position" to set the indent of the respective paragraphs, which should correspond to the settings on the left-hand side. In this case, we set the number position to 0 cm and the text position to 1.5 cm. Then click on "ok".
     
  7.  Your export may look like this after linking the letterhead template with a LAWLIFT template:



    To ensure that the two sides are at the same height, the Spacing settings of the "before" and "after" styles must match. You can achieve this by clicking on "Modify style" in the respective styles and then setting the Spacing as on the left-hand side via "Format" → "Paragraph":

     

 

The letterhead template is now ready for use. As soon as you want to make changes to the numbering or indentation, you must always click on the icon and then "Define New Multilevel List". The menu then opens again and you can make adjustments. 

Attention

Your letterhead template now contains two Multilevel Lists. To make the changes in the correct list, you must first click on the style sheet of the first level (LL Heading Level 1 numbered or LL Heading Level 2) and then on the icon . This is the only way to open the correct menu.

 


Use of the letterhead template

You can now store the letterhead template of a bilingual LAWLIFT template as usual. For unnumbered headings and paragraphs, however, you must observe certain special features:

  1.  For unnumbered headings, the left-hand side is formatted with LL Heading Level 1 and the right-hand side with LL Heading Level 2. You must therefore use the custom style for the right-hand side (as LL Heading Level 2 is now also numbered). To do this, enter the command "::cs[LLHeadingLevel1]" in the right-hand heading.


     
  2.  In the case of unnumbered paragraphs, the same style sheets are used on both pages. In the above case, this would be LL Paragraph Level 1, so both pages would also be unnumbered. However, if you switch between numbered and unnumbered paragraphs, you must indent the unnumbered paragraphs one level further so that they are formatted with the unnumbered style LL Paragraph Level 3 (you can also use a custom style for this):



     

An export for this example would then look like this:

Please note that the double-sided numbering is only displayed in the export and not yet in the preview.

Contracts with three or more levels of structure

The more outline levels your contract has, the more unnumbered style sheets you have to redefine as numbered ones. This results in the problem that you no longer have any unnumbered styles available. If you have more than two structure levels, we therefore recommend using the custom style for unnumbered paragraphs and headings.

The following example shows a document with three outline levels and both numbered and unnumbered headings and paragraphs on each level:

In order to display the unnumbered paragraphs correctly, two new styles were created in the letterhead template (Para2 and Para3) and then assigned to the paragraphs using the custom style.

If we look at the structure of the template, we can see the following: the numbered paragraphs under headings 1 and 2 are on the same level as headings 4 and 5. This means that they must be numbered in the same style. First, however, we again need a list with several outline levels (see explanation with two levels) and make the following assignment:

Now the styles LL Paragraph Level 2 and LL Heading Level 3 are to be numbered in the same style on the right-hand side. To do this, we need to open the style sheet LL Paragraph Level 2 and then select "based on: " LL Heading Level 3" in the top menu. The numbering setting is then adopted.

After the letterhead template has been saved and linked, the export will look like this:
